TERMS AND CONDITIONS OF PAYMENT

§1 

Making reservations in the Hostel.

Point 1. Private reservation

1.1. Reservations can be made:

a) directly through the reservation engine at our website;

b) reservation of stay by phone, confirmed with an e-mail message detailing the terms of the reservation (the following information is required: full name, date of arrival and departure, time of arrival, type of room, number of guests, any demands concerning board, data for invoice –necessary in the case of private guests as well, contact number to the person responsible for reservation);

c) placement of a written order for stay: by e-mail or mail (the following information is required: full name, date of arrival and departure, time of arrival, type of room, number of guests, any demands concerning board, data for invoice – necessary in the case of private guests as well, contact number to the person responsible for reservation);

d) through one of many channels of on-line sale and reservation of accommodation (Online Travel Agency – OTA).

1.2.   After a reservation is made according to the procedure described above, the Hostel will send a reservation confirmation to the e-mail address or mail address provided by you.

1.3.   In order to make a reservation which is legally binding to the Hostel, the Guest making the reservation is required to make an advance payment of 50% of the value of the entire order, but no lower than the value of service for the first night of stay (i.e. number of guests x first night of stay).

1.4.   The above advance payment must be paid to the Hostel account by bank transfer, in cash or by credit card.

1.5.   The payment must be made within 7 days after an initial reservation is made, but no later than 48 hours before the planned arrival. If no payment is recorded, the reservation may be cancelled.

1.6.   The date of crediting the bank account is considered the date of making the advance payment.

1.8.   Rest of the amount must be paid in the Hostel at check-in. If the payment is not made on time or there are no funds available in the credit card, the reservation will be cancelled after the people concerned are notified.

Point 2. Group reservation

2.1. Group reservations can be made only and exclusively:

a) reservation of stay by phone, confirmed with an e-mail message detailing the terms of the reservation (the following information is required: full name, date of arrival and departure, time of arrival, type of room, number of guests, any demands concerning board, data for invoice –necessary in the case of private guests as well, contact number to the person responsible for reservation);

b) placement of a written order for stay: by e-mail or mail (the following information is required: full name, date of arrival and departure, time of arrival, type of room, number of guests, any demands concerning board, data for invoice – necessary in the case of private guests as well, contact number to the person responsible for reservation);

2.2.   After a reservation is made according to the procedure described above, the Hostel will send a reservation confirmation to the e-mail address or mail address provided by you.

2.3.   In order to make a reservation which is legally binding to the Hostel, the person making the reservation for the Group is required to make an advance payment of 50% of the value of the entire order, but no lower than the value of service for the first night of stay (i.e. number of guests x first night of stay).

2.4.   The said advance payment must be paid to the Hostel account by bank transfer, in cash or by credit card.

2.5.   The payment must be made within 7 days after an initial reservation is made, but no later than 30 days before the planned arrival. If no payment is recorded, the reservation may be cancelled.

2.6.   The remaining amount must be paid within a time limit determined by the reception desk. If no payment is recorded, the reservation may be cancelled.

2.7.   The date of crediting the bank account is considered the date of making the prepayment.

2.9.   Group reservations made via other sources of sale than the ones specified in §1 Point 2.1 a), b) (e.g.: OTA, reservation engine) may be cancelled.

§2

Cancellation and modification of reservations in the hostel.

Point 1. Terms and conditions of cancellation and modification of private reservations.

1.1. The Hostel differentiates between two types of private reservations:

a) Non-refundable reservations – usually available at a promotional price different from the base price of standard reservation, the payment is made at the time of making the reservation, the reservation is confirmed in 100%, in the case of resignation the payment is not returned. The Guest has no option to modify the reservation. Random factors are not taken into consideration.

b) Standard reservations – are subject to the standard terms of reservation. The Guest has an option to cancel and modify their own reservation according to the terms detailed in the terms of payment.

1.2 In the case of resignation from a reserved stay (regarding standard reservations) no later than 48 hours before the planned arrival, the Guest has the right to a 100% refund. The cancellation must be confirmed by the reception desk with an appropriate e-mail.

1.3 If the Guests would like to modify their reservation, they can do so, but no later than 48 hours before the planned arrival. Changes are possible to the extent which the Hostel can provide (current resources);

1.4 In the case of resignation from a stay within 48 hours before the planned arrival, the Hostel can charge the person making the reservation with the costs of the entire reservation. In such a situation, the Hostel does not refund the costs incurred so far.

1.5 In the case of no show, i.e. before the end of the first day of stay, the Hostel can cancel the reservation for the entire stay and charge the person making the reservation the costs of the reservation for the entire stay and/or not refund the incurred costs.

Point 2. Terms of cancellation and modification of group reservations

2.1 The Hostel accepts one type of group reservations:

a) Non-standard reservation – the price is set individually, payments for the reservation are provided for in §1 Point 2.1, the reservation is confirmed in 100%, the person making the reservation may cancel and modify their reservation up to 30 days before the planned arrival.

2.2 In the case of resignation from the reserved stay (regarding non-standard reservation) no later than 30 days before the planned arrival, the person making the reservation may be reimbursed for 100% of incurred costs. Cancellation must be confirmed by the reception desk with an appropriate e-mail.

2.3 In the case of resignation from the reserved stay within 30 days before the planned arrival, the Hostel may charge the person making the reservation the costs of the entire reservation. The Hostel does not refund costs incurred so far.

2.4 In the case of no show, i.e. before the end of the first day of stay, the Hostel can cancel the reservation for the entire stay and charge the person making the reservation the costs of the reservation for the entire stay and/or not refund the incurred costs.

2.5 If the number of guests who have arrived is lower than declared, the person making the reservation will charged for the accommodation costs for the number of guests specified in the original order;

2.6 If the person making the reservation wishes to modify the reservation, they do so no later than 15 days before the planned arrival. Changes are possible to the extent which the Hostel can provide (current resources) and have to be confirmed by the reception desk with appropriate e-mail.

§3

Other provisions.

Point 1. General provisions.

1.1.   The difference between the payment made for reservation and the resignation fee (if applicable) is refunded to the Guest by bank transfer to the bank account indicated by the Guest.

1.2.   The resignation fee is deducted from the amount of advance payment or from the amount of the paid stay, or charged from the credit card.

1.3.   In case the term of stay in the Hostel is reduced, the Guest, in addition to the price for the finished days of stay, will be additionally charged with a fee equal to 100% of the price of the remaining days of stay. Paid amounts are not refundable.

1.4.   These Terms and Conditions of Payment form an appendix to the Terms and Conditions of Facility. Upon making a reservation, the Guest must observe all terms and conditions.

1.5.   The Hostel reserves the right to preauthorise the Guest’s credit card.

1.6.   The resort tax (also referred to as the visitor’s tax) is not included in the accommodation cost and is collected in cash during check-in.

1.7.   The Hostel reserves the right to change the room reserved by the guest for a room of the same or higher standard if the originally reserved room will for any reason be unavailable. If the room is changed for a room of lower standard, the difference in the price for the originally reserved room and the replacement room will be refunded.

1.8.  The Guests have the right to submit complaints. All complaints are received by the reception desk (e-mail: rezerwacje@domharcerza.pl). The complaint examination process takes 7 days.

TERMS AND CONDITIONS

FAQ

  1. The hostel day is from 15:00 to 11:00 (it is possible to arrange the time of arrival in advance). The Hostel can refuse to accept the Guest without justification. The Hostel can collect a security deposit in the amount of PLN 50 for the room key.
  2. If the guest fails to check-out to 11:00, they may be charged with an additional fee according to the current price list.
  3. In the case of a group reservation, the Hostel, at check-in, can collect a security deposit in the amount of PLN 1000 for every started group of 10 people.
  4. At check-out, the guest returns the received set of keys to the reception desk – and in exchange receives the above security deposit.
  5. It is prohibited to lend the rented room to people who are not checked-in in Dom Harcerza (Hostel “Bi-Pi” / Apartamenty Baszta). The hostel guest cannot lend the rented room to third parties even if the period for which they have paid the due accommodation fee has not lapsed.
  6. One bed in a shared room is intended ONLY for one guest!
  7. The accommodation price includes bedding, a towel, coffee, tea, TV and Internet access. At the guest’s request, the hostel provides free luggage storage services.
  8. The hostel rooms are rented after production of a valid ID card or passport and after settlement of the entire payment for the stay.
  9. The hostel quiet hours are from 22:30 to 07:00. During these hours, guests who are not checked-in cannot stay in the hostel. Every person who is not checked-in in the hostel in the above hours will be requested to make a payment for the stay (at a rate calculated for the room in which the person currently stays) – such visitors are the responsibility of the hostel guests entertaining them.
  10. The behaviour of hostel guests and third parties must not disturb the stay of other guests. The Hostel can refuse further stay to a person who violates this rule, acts aggressively towards the hostel personnel and does not follow the rules that are effective in the hostel – even during a hostel day and without refund of the incurred accommodation fee.
  11. For fire safety, it is forbidden to use candles, coil heaters and other similar devices which are not a part of the room’s furnishing.
  12. At the hostel’s site, it is absolutely forbidden to smoke. For violation of this rule, the Hostel will charge the guest with a penalty of PLN 2000. If the fire system is triggered at the fault of the guest, they will be additionally charged with costs of unjustified fire brigade call.
  13. It is possible to bring in pets to the hostel for an additional fee (exclusively in private rooms; a valid vaccination book and muzzle are necessary).
  14. After the room is left, the keys must be returned to the reception desk. For lost keys/cards (to doors/cabinets), the Hostel will charge the guest with a penalty of PLN 50 per key.
  15. The Hostel guest bears financial liability for damage to or destruction of hostel devices. The hostel guest must also compensate for non-material damage inflicted to other hostel guests and/or the hostel employees.
  16. The Guests can submit complaints if they notice any deviations in the quality of provided services. All complaints must be submitted at the reception desk. The complaint examination process takes 7 days. The complaints submitted after check-out will not be accepted.
  17. Please report any defects found in the room at the reception desk on arrival. If you do not, it will be assumed no defects and damage were found.
  18. It is forbidden to rearrange the furniture in the hostel rooms.
  19. The hostel is not liable for valuables left in the room and common parts. Valuables can be deposited at the reception desk. The parking lot in front of the building is not guarded.
  20. The items left in the room after check-out it will be stored for 14 days and then will be destroyed.
  21. Please keep the rooms and in common areas clean and tidy. In particular, please take special care of keeping toilets and kitchens clean because they are common areas in our hostel. Guests of Dom Harcerza (“Bi-Pi” Hostel / Apartamenty Baszta) must follow the fire protection regulations and general safety rules.
  22. We are not responsible for failures and their effects if they are beyond our control.
  23. The Hostel does not return money after payment of the accommodation fee.

At the moment of check-in or payment of the reservation costs, the hostel Guest acknowledges and accepts these terms and conditions. Failure to observe the terms and conditions effective in Dom Harcerza (“Bi-Pi” Hostel/Apartamenty Baszta) can result in removal from the building without refund of costs incurred by the Guest.
